The Twelve Steps Club held its monthly meeting on July 11th 2010. We voted on the proposed changes re: the support the Club supplies to our meetings. As stated in the June Notice, the Club will discontinue supplying meetings with coffee, sugar, milk, cups and medallions. This was done after a great deal of heated discussion.
There are two reasons that this decision was made. The first was primarily financial, the Club has experienced several months of spending more than our income. It cost about $3,000 to open the doors of the Club every month. We have experienced a shortfall of approximately $500 a month. Cost of supplying these materials is about $250 monthly. It is not the entire solution; but the majority of the members present felt it would help.
The second reason is that the Club was not supporting the Seventh Tradition of each group being self supporting. By supplying these material; we were taking responsibility away from the meetings to be self supporting.
The other item in the Notice of June 2010 is the subject of rent. It has been a long standing rule of the Club to request a rent of $25 per meeting, and accepting whatever the meeting could afford. The Club would like to receive the full rent from every meeting, We will continue to work with those meetings that cannot make the rent to find ways to increase attendance and basket donations for each meeting.
The rule changes will take effect on Sept. 1, 2010.
In the meantime the Club will supply the coffee materials.
In preparations for the changes meetings should continue to follow the rules currently in effect reguarding the basket collection. They should also elect some of the officers as suggested in the AA pamphlet “The AA Group”: the most important would be Treasurer, General Service Representative, Secretary, and Coffee Maker.
The Treasurer should:
collect the basket every week,
Reimburse the Coffee Maker for coffee supplies only,
Pay the rent and,
Keep donations over $25 for distribution quarterly.
Coffee Maker should:
Arrive 30 minutes early to ensure the coffee is ready on time,
Purchase the coffee supplies as needed, boxes of Joe not included,
Snacks are not included as reimbursable items,
Present the treasurer with receipt,
Clean up after the meeting.
General Service Representative should:
Attend monthly District meeting,
Pick up schedule books and fliers,
Take any group problems to the District,
Report to group on what happened at the meeting, (take notes)
Take a group conscience on matters that will be voted on at the next meeting.
Group Secretary:
The secretary is the leader for the group,
Call business meetings,
Oversees the activities of the group.
Please note that job descriptions listed are only suggestions on how a group should be organized. Each group should develop its own guidelines for how the group should be run. The suggestion above are from the pamphlet “The AA Group”, which contains the suggestions from World Service Organization. You will find copies in the racks by the front door or ask a Club Officer for a copy.
